Our Retirement Planning Services Division has a full-time opening for a Retirement Representative to perform the day-to-day administration of the 403(b) and 401(k) programs.
Job Duties:
Contribution Reporting
Each day, enter contribution reports (via the Web Administration system) received that day from assigned employers, by fax, email or regular mail. This may include posting a CSV file received by the employer via email.
Monitor late contribution reports and lost earnings.
Review and communicate forfeitures to employers monthly.
Daily review of employer contributions received from Finance and match with reports in the 403(b) database.
Coordinate any corrections due to contribution reporting errors/corrections discovered by the employer or the retirement rep.
Approve files to submit to Vanguard. Assist with preparing and transmitting the contribution file each Wednesday and Friday. Includes reconciling any discrepancies with the files before submission.
Weekly loan monitoring for payoff or new loan approval.
Customer Service
Respond within two days to requests received from assigned employers via phone, email or fax for general Plan information, Plan forms, and Plan procedures. Assist assigned employers with the use of the Web Administration system as needed.
Assist with on-boarding new employers and acclimating them to the contribution reporting process.
Login to Customer Service phone system each day to manage calls from employers and employees.
Hardship processing: Review supporting documentation requests immediately upon receipt via fax, email or regular mail. Request additional documentation if needed and adjudicate the request in the Vanguard system timely.
Death processing: Prepare distribution due to death paperwork and ensure timely processing of distribution to spouse/beneficiary.
Participant Enrollment/Changes & Scanning
Within one day of receipt, enter new participant enrollment information into 403(b) Administration database for assigned employers. Enrollment forms may be received via email, fax, or regular mail. Scan enrollment forms for each participant under their name in the 403(b) document storage library by the end of each month. Also input and scan any forms received indicating demographic changes into the appropriate participant’s record. By the end of each month, scan contribution reports into the employer’s file in the Document Storage Library.
